Guidelines for Electronic Submission of Advertisements


Ads must be supplied as Portable Document Format (PDF) files or Encapsulated PostScript (EPS) files.

Please email your file to journals_advertising@dukeupress.edu and fax a hard copy of any ad you submit electronically to
919-688-3524, Attn: Journals Ads. Your fax will alert
us if your file has been corrupted during transmission.

A few general suggestions and things to know:

• Please size your document per the specifications indicated for that specific journal
• When creating your ad, avoid using the application’s bold and italic buttons. Use the font’s real bold or italic version.
• Do not use the PDFWriter desktop printer; it is not capable of creating an appropriate file.
• The instructions below are based on MacOS, but the same specs apply regardless of what platform is used.

Creating a PDF from InDesign

The easiest way to make a PDF from InDesign 2.0/ CS is to use the Export function from under the File menu. In the following screen, make sure you select PDF from the pull down menu and note the location the file will be saved in. In the next window, please select [Press] from the Style pull down menu. Click
Export and you’re finished.

Creating a PDF from QuarkXPress
Make sure you are using a Postscript printer driver. For MacOS we highly recommend using the LaserWriter 8.5.1 extension—that is what these instructions are based on. Select Print from the File menu. Under Document: Deselect Separations, and Registration should be Off. Under Setup: Printer Description should be Acrobat Distiller (if that is not available, use Generic Imagesetter), and Paper Size should match the dimensions of your ad. Under Output: Print Colors should read Grayscale, Resolution should be set to 2400, and Halftoning should be set to Printer. Under Options: Deselect
Quark Postscript Error Handler, set Page Flip to None, deselect Negative Print, set Output to Normal, set Data to Binary, set OPI to Include Images, and select Overprint EPS Black. Select the Printer button at the bottom of the window. In the resulting
screen, make the destination: File. Then use the pulldown menu to get to Save as File. There, Format should read Postscript Job, Postscript should be Level 2 and 3 compatible, Data Format should be Binary, and Font Inclusion should be All. Click Save. From this point, if you have Acrobat Distiller 4.0, distill the file using the Press Optimized job setting.

Creating a PDF from PageMaker

Distiller is included with recent versions of PageMaker. Under File: Choose Export > Adobe PDF. Select Distill Now, and Include downloadable fonts. Also check Override Distiller’s options and click Edit... In the following screen, compatibility should be Acrobat 4.0 (if 4.0 is not available, use 3.0), and all three boxes should be checked (Binary format, Embed all fonts, and Subset fonts below 25%). PageMaker should create and distill a Postscript file into a PDF.
