  • Job Description:

    • Scans, copies and files documents.
    • Serves as DUP’s petty cash custodian.
    • Processes accounting department’s A/P check requests.
    • Procedure preparation; prepares, maintains and implements individual detailed procedures for departmental procedure manual as related to position responsibilities.
    • Prepares and processes monthly journal entries.
    • Assists DUP personnel and A/P vendors in research of payments.
    • Reviews invoices from Duke University Press staff for payment by reviewing for proper coding, approvals and inclusion of supporting documents and resolve discrepancies.
    • Processes DUP invoice payments and prepares electronic file of A/P invoices for upload to Duke Corporate Accounts Payable.
    • Establishes and updates vendors in SAP and Advantage.
    • Coordinates, processes and tracks DUP purchase orders.
    • Trains, troubleshoots and monitors DUP staff travel expenses and c-card transactions with online tool at Duke@Work.
    • Maintains employee related Federal Express charges for staff.
    • Reviews and uploads journal entries for DUP departments.
    • Maintains and reviews the activity in the Balance Sheet accounts 1913xx and 1904xx.
    • Trains, trouble shoots and monitors payments made via the A/P online check request tool.
    • Backup to Accounting Clerk for courier service for daily deposits, pick up checks at Duke Corporate A/P and drops off paperwork at the Bursar’s office.
    • Logs honorariums paid in books and sends yearly file to Duke Corporate A/P for tax reporting (calendar year).
    • Researches checks returned due to invalid address or any other issues where payment could not be delivered.
    • Maintains and requests tax forms W-9 and W-8BEN and forward to Duke Corporate A/P as needed.
    • Ability to prepare and present training presentation.
    • Other duties as assigned.
    • Education/Training

      • Education/Training

      • Knowledge of basic mathematical and communications principles normally acquired through two years of postsecondary education.
      • Skills

      • SAP/R3 (Duke University Financial System).
      • Advantage (Duke University Press Books/Journals software).
      • Filemaker (database software).
      • Web Browser Software.
      • Microsoft Office Suite with an emphasis on Excel.
      • Email and calendar software.
    • Experience

      • Experience

      • Three years of clerical experience to acquire strong skills in administrative responsibilities as well as accepted office organization and communication practices. A bachelor’s degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement. Or any other equivalent combination of relevant education and/or experience.
